Job Description :

We are looking for a proactive and detail-oriented Executive Assistant to support our client’s team during a 4-month maternity leave. In this dynamic role, you will handle a variety of administrative tasks, ensuring the seamless operation of day-to-day activities. This position is open to candidates available for an immediate start and offers a sponsored visa.

Key Responsibilities

Calendar and Scheduling

  • Manage and maintain the executive’s calendar, including meetings, appointments, and deadlines.
  • Prioritize tasks and resolve scheduling conflicts to ensure efficiency.

Travel Management

  • Organize domestic and international travel plans, including flights, accommodations, and transportation.
  • Handle visa applications and immigration requirements for travel.

Document Preparation

  • Draft, edit, and format reports, presentations, and correspondence.
  • Ensure accuracy, clarity, and professionalism in all documents.

Office Administration

  • Oversee incoming and outgoing communications (emails, phone calls, and mail).
  • Maintain office supplies, equipment, and an organized work environment.
  • Address inquiries promptly and professionally.

Event Coordination

  • Plan and execute company events, meetings, and conferences.
  • Coordinate logistics, including venue booking, catering, and guest lists.
  • Manage event timelines and budgets while providing on-site support during events.

Ad-hoc Support

  • Assist with miscellaneous tasks to ensure smooth team operations.
Availability:

Immediate joiners only.

Education:

Bachelor’s Degree or Diploma in Business Administration, Management, or a related field.

Experience:
  • 5–6 years of proven experience as an Executive Assistant or in a similar administrative role.
  • Experience with event planning and travel coordination is a plus.
Skills:
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Detail-oriented, resourceful, and able to work under pressure.
